Neivan Observation

Neivan learns how your team works —
then shows you what to automate.

Observation watches the work you allow, spots the jobs your team does over and over, measures how long they take, and drafts the automations that could do them. Buy it as a fixed-price Assessment, or use it inside the Neivan platform.

Demo: the tasks, people and numbers are made-up examples, shown exactly the way Neivan presents real ones.

What it does

From watching to working automations.

No interviews, no guesswork about where the time goes.
  1. 1

It notices the work that repeats

The same steps, done again and again — copying orders into your books, sending the same kind of reply, building the same weekly report.

  2. 2

    It measures the time

How often each job happens, how long it takes, and how many hours a month it costs your team.

  3. 3

    It suggests what to automate

Which jobs an AI agent or workflow could take over, what that would cost to run, and the time and money it would save.

  4. 4

    It drafts the automations

Neivan builds the agents and workflows for those jobs from what it saw. You review them and switch on the ones you want — each one still asks before it acts.

For example

Say someone copies each new order from email into QuickBooks every morning, and it takes about 40 minutes. Observation spots the pattern, works out it costs about 14 hours a month, and drafts an agent that enters the orders for them — showing each one for approval before it is saved.

Three levels

You choose how much it sees.

Pick a level for each program you include. More detail means Neivan can learn a task more exactly — and your team is told precisely what each level records before anything starts.
  1. Level 1Available now

    Activity

    Like a logbook

    What it records

    • ✓Which programs people work in, and when
    • ✓The names of the buttons and boxes they use — for example “Save” or “Invoice number”
    • ✓For email: who a message went to, when, and its subject line

    What it never records

No pictures of the screen, nothing anyone types, and never the text of an email.

Best for: Finding the jobs that repeat, how often they happen and how long they take.

  2. Level 2Available now

    Activity + screenshots

    Like a step-by-step photo guide

    What it records

    • ✓Everything in Level 1
    • ✓A picture of the window at each step of a task
    • ✓What was entered in each box, so the exact steps can be repeated

    What it never records

Never passwords, and nothing from programs you have blocked. Email stays as in Level 1.

Best for: Learning exactly how a task is done, so an automation can do it the same way.

  3. Level 3Coming soon

    Full screen video

    Like a screen recording

    What it records

    • ✓Everything in Level 2
    • ✓A continuous video of the window being worked in, while an allowed program is open

    What it never records

Stops for blocked programs, password boxes, and whenever someone presses pause.

Best for: Long, detailed work that is hard to follow from pictures alone.

At every level

  • ✓You choose which programs and which people are included.
  • ✓Each person is told exactly what is recorded and agrees first.
  • ✓Each person can see everything recorded about them, and pause at any time.
  • ✓It looks for repetitive work. It is never used to score, rank or rate anyone.

The Neivan Assessment

Observation as a fixed-price study.

A set window of observation for your team, ending in a report you keep — whether or not you go on to use Neivan.

Measured time per task

The recurring tasks your team does, how often, and how many hours they take — measured from real activity, with how each figure was worked out.

An automation roadmap

Which tasks to hand over first, what an agent would cost to run, and the time and money it would save.

Draft AI agents for your company

A set of agents drafted for the tasks worth automating, ready to review and switch on if you continue.

A report you keep

Everything above in one report, with its limits stated. People are counted, never named.

How it works

  1. 1

    Choose a size and pay

Pay by card and create your account — or talk to us first.

  2. 2

    Invite your team

Each person sees exactly what will be read and agrees before anything is. Nobody is observed without their consent.

  3. 3

    Connect work email

Work email (Gmail or Outlook) is connected for the people taking part. Neivan reads who an email went to, when, and its subject line — never the message itself. Department can add the desktop recorder.

  4. 4

    We measure

For 14 or 30 days, depending on the size you chose. People carry on as normal and can pause at any time.

  5. 5

    You get the report

Time per task, the roadmap and the draft agents, in one report.

Sizes and prices

One fixed price. No subscription.

Your fee back as credit if you continue

Start an agent plan or the Neivan platform within 60 days of your report and 100% of the assessment fee comes back as account credit, to spend on your plans and AI usage. The credit has no cash value and expires 12 months after it is issued.

Consent and privacy

Your team sees it, agrees to it, and can pause it.

The assessment finds repetitive work. It is not used to score, rank or watch individuals.

Email (Snapshot and Assessment)

  • Reads the sender, recipients, time and subject line of each email.
  • Does not read message bodies, attachments or file contents.
  • Each person agrees separately before their mailbox is read, and can withdraw at any time.
  • Each person has their own page showing what is being captured about them, with a pause button.

Desktop recorder (Department, and on the platform)

  • For work done in programs on a computer rather than in email. Installed only on computers whose user agrees.
  • At Level 1 it records which program is in use and which buttons are pressed — not what is typed.
  • At Level 2 it also takes a picture of the window at each step and notes what was entered in each box (never passwords). Pictures are shrunk but not blurred, and deleted after 90 days.
  • Text that looks like an email address, card number or password is masked on the machine before anything is sent.

Observation data is kept for 90 days after your assessment ends, then deleted — unless you go on to use Neivan. Read the full Observation & Screen-Recording Disclosure and the Employee Monitoring Notice template you can give your team.

Questions

Yes. Nothing is read until each person agrees, and they can see what is being captured about them, pause it, or withdraw at any time. We give you a plain-language notice template to hand your team.
It depends on the level you choose — see "You choose how much it sees" above. For email, at every level: who a message was from and to, when, and its subject line — not the message itself or attachments. On a computer, Level 1 records which program is in use and which buttons are pressed; Level 2 adds a picture of the window at each step and what was entered in each box, never passwords. Full screen video (Level 3) is coming soon.
Snapshot measures for 14 days and Assessment for 30, once your team has connected. Department is scoped with you. You get the report at the end of the window.
No. The assessment looks for repetitive work that can be automated. The report counts people but never names them, and the data is not used to rate anyone.
You keep the report and decide. If you start an agent plan or the Neivan platform within 60 days of your report, your full assessment fee comes back as account credit. If you don't continue, the observation data is deleted 90 days after the assessment ends.
Your company controls the assessment and decides who takes part. Neivan processes the data on your behalf to produce the report. The disclosure linked above sets out exactly what is captured and how long it is kept.

After Observation

Then put it to work.
